We invite you to exhibit at the Oklahoma Chapter Meeting of the American College of Surgeons Annual Meeting. The event will occur at Choctaw Conference Center in Durant, OK, on Saturday, September 13, 2025, from 7:00 am – 4:00 pm.

The cost to exhibit is $2,100. This provides:

·       Access to a significant representation of general surgeons from across the state
·       Table for setup for the duration of the meeting between the food and the presentation room.
·       Opportunities to engage the attendees throughout the meeting.

RULES & REGULATIONS

Exhibit applications must be submitted by July 25, 2025. A $1,000 deposit is due upon receipt of your application.  The balance is due on Friday, July 25, 2025. Full payment is due upon receipt of your application, if received after July 25, 2025.  THE DEPOSIT IS NONREFUNDABLE. Full payment is due on July 25, 2025.

Cancellations: The Oklahoma Chapter, ACS, must receive written notification of a space cancellation on or before July 18, 2025. A $1,000 service charge will be assessed for each canceled space. No refunds will be given after July 18, 2025.

Failure to Occupy Space—The exhibitor will forfeit any space not occupied by 7:00 a.m. on Saturday, September 13, 2025. The space may be reassigned or used by the Chapter without refund unless arrangements for delayed occupancy have received prior Chapter approval.

Force Majeure - The performance of this Agreement by either party is subject to acts of God, war, government regulation, disaster, fire, epidemic, threatened or imminent strikes, civil disorder, curtailment of transportation facilities, threats or terrorist attacks, or other similar occurrence beyond the control of the parties, making it illegal, impossible, or commercially impractical to carry on the exhibits or fully perform the terms of this Agreement. This Agreement may be terminated, or performance may be excused without penalty for any of such reasons by written notice from one party to the other.

Catastrophe - In the event of fire, strikes, or another unavoidable occurrence rendering the exhibit space unfit for use, provisions will be made for the exhibit elsewhere, or a proper financial adjustment will be made to the exhibitor.

FDA Regulations - Exhibitors must abide by all applicable Food and Drug Administration (FDA) regulations, including but not limited to any or all approved requirements. Exhibitors are reminded that the FDA prohibits the advertising or other promotion of investigational or unapproved drugs and devices and forbids the promotion of approved drugs or devices for unapproved uses. Interpretation and Application of Rules and Regulations – All matters and questions not specifically covered by Rules and Regulations are subject to the decision of Jacquelyn Mitchell, Associate Director of Convention and Meetings, American College of Surgeons, and Dana McClure, Exhibits Coordinator, American College of Surgeons. The ACS is a member of the Professional Convention Management Association (PCMA), the International Association for Expositions and Events (IAEE), and the Healthcare Conventions & Exhibitors Association (HCEA).

Miscellaneous - This Agreement supersedes all prior writings or oral agreements and constitutes the entire agreement between the parties on the subject hereof; it may be amended only by writing, setting forth the amendments, and signed by both parties. This Agreement is binding on the parties, their successors, and assigns, provided that no party may assign this Agreement without the prior written consent of the other party. Either party’s waiver of or failure to exercise any right provided for in this Agreement shall not be deemed a waiver of any further or future right under this Agreement. All notices required or permitted hereunder shall be in writing and sent to the parties at the addresses provided by the parties. This Agreement shall be governed by and interpreted in accordance with the laws of the State of Illinois.

CME

Successful completion of this CME activity, which includes participation in the evaluation component, enables the learner to earn credit toward the CME requirements of the American Board of Surgery’s Continuous Certification program.

Diplomates of the American Board of Surgery

By attending an ACS-accredited activity, you may choose to participate in the automatic transfer of your CME credits to the ABS via the ACCME. If you are a physician and Diplomate of the American Board of Surgery (ABS). This is a free offering.

Opt in to Automatically Send your CME Data to the ABS

The direct automatic transfer applies to all learners who have an ACS profile, are Diplomates of the ABS, and have provided their ABS ID and date of birth in the ACS MyCME Portal on the Board Certification page.

Step-by-Step Instructions to Access MyCME and Opt in to Transmit Your CME Data

1. Log in to your MyCME Portal

2. Select the Board Certification tab

3. Enter the American Board of Surgery

4. Enter your ABS ID

5. Enter your Day and Month of birth

6. Next go to the Send CME Data tab

7. Toggle to Opt In (green) “Yes! I choose to opt in and permit the ACS to automatically transfer all my ACS-accredited CME data to my chosen specialty board earned March 1, 2021, and forward.”

Please note if you have successfully transmitted your ACS-accredited CME credits to the ABS via ACCME, then you can skip steps 2-6, and go directly to the Send CME Data tab, and Toggle to Opt In (green).

Once you have opted to automatically transfer your CME credits to the ABS, please allow 24 hours after transferring claiming your CME credits before you log into your ABS account to confirm the credits are in your ABS CME Repository.

1. PROGRAM OBJECTIVES

This activity is designed for physicians and nurses. Upon completion of this course, learners should be able to better navigate the challenges experienced by rural surgeons; to articulate the offerings and updates from the ACS Committee on Trauma and the impact on the state of Oklahoma; to recognize ongoing research efforts of surgical trainees in the state of Oklahoma; to articulate the offerings and updates from the ACS Committee on Cancer and the impact on the state of Oklahoma; to demonstrate understanding of surgical offerings within the Native American Health Services in the state of Oklahoma; to understand the ongoing global offerings from the ACS; to demonstrate knowledge in application of robotics surgery in acute care settings; to identify and treat common emergency situations in patients with bariatric surgery needs; to express awareness of the emotional intelligence needs and challenges of surgeons.

2. DISCLOSURE INFORMATION

In accordance with the ACCME Accreditation Criteria, the American College of Surgeons must ensure that anyone in a position to control the content of the educational activity (planners and speakers/authors/discussants/moderators) has disclosed all financial relationships with any commercial interest (termed by the ACCME as “ineligible companies”, defined below) held in the last 24 months (see below for definitions). Please note that first authors were required to collect and submit disclosure information on behalf all other authors/contributors, if applicable.

Ineligible Company: The ACCME defines an “ineligible company” as any entity producing, marketing, re-selling, or distributing health care goods or services used on or consumed by patients. Providers of clinical services directly to patients are NOT included in this definition.

Financial Relationships: Relationships in which the individual benefits by receiving a salary, royalty, intellectual property rights, consulting fee, honoraria, ownership interest (e.g., stocks, stock options or other ownership interest, excluding diversified mutual funds), or other financial benefit. Financial benefits are usually associated with roles such as employment, management position, independent contractor (including contracted research), consulting, speaking and teaching, membership on advisory committees or review panels, board membership, and other activities from which remuneration is received, or expected.

Conflict of Interest: Circumstances create a conflict of interest when an individual has an opportunity to affect CME content about products or services of an ineligible company with which he/she has a financial relationship.

The ACCME also requires that ACS manage any reported conflict and eliminate the potential for bias during the educational activity. Any conflicts noted below have been managed to our satisfaction. The disclosure information is intended to identify any commercial relationships and allow learners to form their own judgments. However, if you perceive a bias during the educational activity, please report it on the evaluation.
